Essential Party Tools that Event Planners Don’t Want You to Know About!
Just like a craftsman, event planners have a few tools to ensure that all events run smoothly. These tools of the trade are usually kept on the down-low. However, since staying inside, thanks to COVID-19, is driving us crazy we have decided to share with you all! 😝
So, sit back, relax, and learn how to take your event to the next level.
- The Clipboard 📋
If you don’t know already, you will learn the importance of organisation after running an event. You need to have all your events information in one place. Details for the caterer, the florist, the venue, the DJ, and the guests, will all be lost without a good filing system! On the day, it is important to carry a clipboard or a folder with everyone’s contact details and key information about scheduling. This clipboard should be with you AT ALL TIMES! It is your lifeline if something goes wrong and your assurance that things are running smoothly. Every successful event planner has a good filing system and keeps information handy on event day!
- The Baby Wipes 🧻
This one is less important than the clipboard. Heck, everything is less important than the clipboard. But this hack will mean you are prepared for hundreds of circumstances. Baby wipes will be your new best friend! I can guarantee that throughout the course of your event someone will spill something on a table, the floor or even themselves. Baby wipes means that you can clean up those spills quickly and efficiently. If that wasn’t enough, baby wipes can be used to disinfect light switches, door handles and anything else that people touch. Keep your party germ and spill-free with baby wipes!
- The Inventory 👍
All event planners have an inventory of spare tablecloths, vases, and essential decorations. This means that when disaster strikes, you are prepared. However, it is not practical for a first-time party planner to have a large inventory. So, what does this mean for you? Well when you are hiring decorations, food or drinks, order one more than you need. One more tablecloth, one more champagne, and one more dessert. That way, if an extra guest turns up, if there is a spill, or if you simply miscalculated, you will be prepared. You can always use the extra food and drinks at home and return the extra tablecloth!
- The First Aid Kit 🚑
Many people forget how important it is to have a first aid kit on hand! This becomes even more important when you are at a party with alcohol involved. Having a first aid kit with all of the essentials won’t prevent an accident. It means that if someone cuts themselves, falls over or has an accident, you are prepared. You don’t need to call an ambulance for a small cut. You also don’t want blood on the floor. Having a Band-Aid on hand means that cuts can be dealt with in a sanitary way. But remember, if it is a serious accident, call triple 0!
- The Team 🙈
No event planner would be successful without their team of caterers, decorators, bar tenders and hosts! Remember that your team is your greatest asset. Don’t be afraid to trust them with certain tasks. You are not in this alone! Often event planners forget the power of a good team. At the end of a large event thank your team for their hard work.
